Meeting Planning.

A useful preparation plan answers three questions: what must happen, who needs to contribute, and what could prevent them from doing so? Start by writing the intended result, then build the invitation and agenda around it. Give presenters time to check their materials and tell guests what they should have ready. Our group facilitation guide explains how a specific outcome shapes roles, questions, and the final decision record.

Use these articles to create a routine proportionate to the session. A brief catch-up may need a simple joining check; a demonstration needs a rehearsal of the exact equipment and transitions. For the technical side, follow the audio and video preparation checklist. Keep the plan short enough to use, assign responsibility for any unresolved issue, and make a fallback easy for participants to find.
